Our client is seeking a Payroll Specialist or Accountant to join their Accounting team. This position is responsible for accurate processing and recording of company’s payroll and related deductions and expenses, that will provide timely and accurate financial information, and will participate in daily data entry Payroll processing.
Responsibilities:
- Responsible for the preparation and processing of biweekly payroll including time reporting interface for approximately 180 employees; review and ensure accuracy of approved timesheets in electronic time keeping system (currently using ADP time and attendance) ; process correct garnishment calculations and compliance and calculate other special payroll deductions
- Responsible for the management of workflow to ensure all payroll transactions including benefits, 401k elections, special deductions are processed accurately and timely
- Responsible for the coordination efforts between payroll and human resources to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g. leave balances; overtime, census data, and retirement contribution reports)
- Handle the administration of the electronic timekeeping system. Setup each employee, validate employee's charges, and adherence to FLSA; monitor submissions of approved timesheets and ensure valid data transfers to/from payroll service
- Handle the administration and set up of new hires, leaves, and terminations of each employee in payroll system
- Maintain/scan all payroll related employee data to support biweekly processing, ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to company policies including compliance with federal/state/local regulations
- Process manual check and relocation metric’s
- Review payroll prior to transmission and validate information on previewed reports
- Prepare journal entry to record payroll and related expenses and deductions to the general ledger into various departments and cost centers
- Reconcile payroll and payroll tax reporting after each pay run to general ledger and to ADP to ensure accurate tax filings including cash activity
- Reconcile related payroll deductions including benefits, 401k and other special deductions to payroll reports, benefit invoices, and 401k administrative service to invoices and the general ledger. Maintain cumulative worksheets by employee
- Monitor quarterly tax filings and maintain copies
- Calculate 401(K) employer match on a biweekly basis in accordance with provisions of plan and prepare the file to upload employee deferrals, employer match and loan repayments to pension administrative portal
- Develop ad hoc financial and operational reporting as needed
- Special projects and research – Annual W-2 forms, Census reporting, employee compensation cards
Qualifications:
- Associate Degree in Accounting/Business Administration required or equivalent experience
- Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system
- Experience with processing multi-state payroll
- Working knowledge of payroll best practices
- Excellent skills using Microsoft Excel and Word
- Ability to maintain confidentiality and exercise extreme discretion
- Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
- Strong organizational skills, and the ability to work under pressure
- Ability to handle and prioritize multiple tasks and meet all deadlines
